Who is responsible for your information?

What we collect
If you join a mailing list or product updates list, we collect your email address, the list you selected, where the form appeared, the consent wording and version you agreed to, and timestamps showing subscription or unsubscribe activity.
If you apply to become a Founding Creator, we collect the name, email address, creator handle, platforms and category you provide, your description of what you are building, learning, changing or trying, any social profile link you choose to share, campaign/source information attached to the application, the consent wording you agreed to, and the status of the application.
If you create a Room Studio account, we process your email address and an account identifier. When you create a project, we store the project title, your written brief, selected project and budget categories, source photo, inspiration images, generated concepts and the technical records needed to create, save and improve the result. These records can include creation status, usage and feedback. Images can reveal personal information accidentally, so remove people, addresses, documents and other details that are not needed for the design request.
If you use Shop the Look on a saved concept, we store product descriptions, catalogue matches, the products you select or replace and a small set of records showing that the shop was opened, a result was displayed, a product was selected or a retailer link was followed. These records use your account identifier and a temporary random identifier. They do not contain your written project brief or image content.
If you actively accept optional analytics, we collect approved interaction events such as project views, completed reads and guide or retailer clicks. These events use a random browser session identifier. We do not ask analytics events to carry names, email addresses or free text personal information.
Our hosting and security services may process ordinary technical logs needed to deliver and protect the website, such as IP address, browser details and request time.
Why we use it
- To send the updates you requested.
- To review and manage Founding Creator applications, contact applicants and develop the creator and community experience with the early group.
- To create, save and return the private Room Studio concepts you request.
- To create and restore the product matching and selection experience you request for a saved concept.
- To measure whether displayed product matches lead to selections or retailer visits without storing unnecessary personal content.
- To manage credits and usage, prevent misuse, investigate failures and improve the service using deliberate feedback.
- To keep an audit of consent and honour unsubscribe or data rights requests.
- To understand, with your optional analytics consent, which projects and tools are useful.
- To prevent spam, abuse and security incidents.
Marketing email and optional analytics are based on your consent. Necessary account, Room Studio, shopping and security processing is required to provide the service you request and supports our legitimate interests in running it safely and reliably.
Who processes it
Information is processed using the services we use for website hosting, authentication, database storage and private image storage. Room Studio images and project instructions are also sent to the image creation services we use to produce the result you request. These suppliers process information on our behalf or under the service arrangements that apply to them. We review the services we use and update this notice when our processing materially changes.
Our email delivery service processes subscriber addresses to deliver and manage requested messages. We do not sell personal information. If a retailer or external site is linked, that organisation's own privacy notice applies after you leave Winging It Works.
How long we keep it
Room Studio projects and their images are kept while they remain in your account or until you ask us to delete them, subject to proportionate backup, security and legal retention. Usage and abuse prevention records may be kept for a proportionate period for cost control, security and troubleshooting. You can email us to request deletion of a Room Studio project or account.
Founding Creator applications are kept while we recruit, onboard and work with the early creator community, and afterwards only for a proportionate period needed to manage the programme, respond to requests and keep necessary records. You can ask us to delete an application. Active mailing list data is kept while you remain subscribed. After you unsubscribe, we may keep a minimal suppression and consent record so we can respect that choice and demonstrate compliance. Analytics and rate limit records are retained only for a proportionate period needed for insight, security and troubleshooting.
Your UK data protection rights
Depending on the circumstances, you can ask for access, correction, deletion, restriction, portability or objection, and you can withdraw consent at any time. Email us to make a request. You can also complain to the UK Information Commissioner's Office.
Children
The public content can be viewed by families, but the mailing lists, Room Studio and shopping features are not designed for children to use independently. A parent or guardian should control any account or image upload involving a child.
Changes
We will update this notice if we materially change how personal information is collected, used, stored or shared.
